Prosper's ready-made surveys are scientifically developed and mapped to specific measurement pillars, so every response feeds directly into comprehensive score and focus-area tracking in the Management Dashboard. This guide shows Administrators and approved Managers how to activate, customise, and distribute these surveys.

About ready-made surveys
Ready-made surveys give you a validated starting point — you don't have to design a survey from scratch. Each one is mapped to measurement pillars, meaning the scores flow into the Management Dashboard for tracking over time. You can use a ready-made survey as-is, or customise it by adding, removing, and reordering questions.
Prerequisites
- You must be an Administrator or an approved Manager with survey access.
- The Surveys & Happiness module must be enabled for your organisation.
Part 1 — Activating ready-made surveys
Step 1 — Open Surveys & Happiness
From the Prosper main menu, navigate to Surveys & Happiness.
Step 2 — Choose ready-made and get started
Select Ready-Made, then Get Started.
Step 3 — Select a survey
Choose the ready-made survey you want to activate from the available library.
Step 4 — Review title, description, and anonymity
The survey title and description will auto-populate. You can edit them as needed. You can also specify your anonymity preference for the survey here.
Tip: Anonymity drives honesty. For sensitive topics like engagement or wellbeing, an anonymous survey typically produces more candid responses.
Step 5 — Configure Manager access, visibility, and automation
Manager access and visibility can be configured by the administrator at any time — either before a survey is activated or after it has closed.
Admins can choose to give managers visibility of the results for the teams they manage, with or without access to the comments submitted by those teams.
Step 6 — Review
Scroll down to review the questions.
Step 7 — Choose recipients
When the survey is ready, scroll to the bottom of the page and select Choose Recipients on the right.
Surveys can be sent to:
- All employees
- Specific individuals
- Filtered groups — by Team, User Role, Job Role, Location, Gender, or Age
Select your recipients, then click Send Survey.
Step 8 — Confirm and send
A confirmation modal will appear. Select Send Survey.
The survey is now active and distributed to your chosen recipients.
Part 2 — Editing ready-made surveys
Ready-made surveys can be customised by deleting questions, adding your own, and rearranging them for a logical flow.
Delete a question
To delete a question from the selected ready-made survey, click Delete located at the top-right of the question you wish to remove.
Note: Deleting a question that's mapped to a measurement pillar may affect how that pillar is scored in the Management Dashboard. Keep pillar-mapped questions where you want consistent tracking over time.
Add a custom question
- Scroll down to the bottom of the survey and click Add Custom Question.
- Enter your survey question.

Select the appropriate answer type.
Reorder questions
- Scroll to the top of the survey and select Reorder.

Drag and drop questions to arrange them in your preferred order for a logical flow.
- Select Build to return to survey.
Finish editing
Scroll to the bottom of the survey to Choose Recipients, and Send Survey.
Part 3 — Survey notifications and reminders
All Prosper surveys follow the same cadence for notifications, ensuring consistent and timely communication.
- Activation: When a survey is activated, an initial notification is sent via email — and SMS as well, if the recipient has opted in.
- First reminder: Sent three days after the activation date (email and SMS).
- Second and final reminder: Sent five days after activation (email and SMS).
Weekend deferral: If any reminder is scheduled to fall on a weekend, it will automatically be deferred to the next business day to maintain optimal delivery and visibility.
Tips and best practices
- Start with the ready-made survey as designed. The validated questions are mapped to measurement pillars — keep them where you want clean, comparable scoring over time, and add custom questions for your organisation's specific needs.
- Use question groups to improve flow. Grouping related questions under a clear title and description makes a survey feel shorter and more logical to respondents.
- Decide on Manager visibility deliberately. Giving managers visibility of their team's results drives local action — but consider carefully whether they should also see comments, especially for sensitive surveys.
- Use automation for lifecycle surveys. Onboarding and exit surveys are far more reliable when triggered automatically by start and end dates rather than sent manually.
- Time your activation well. Avoid activating on a Friday — the reminder cadence and weekend deferral mean a mid-week activation usually achieves better visibility. Avoid long weekends and holiday periods.
- Encourage SMS opt-in. Recipients with a mobile phone number added to their profile will receive notifications through an additional SMS channel, which lifts response rates — particularly for frontline staff who don't check email regularly.
Troubleshooting
I can't see the Ready-Made option.
Confirm the Surveys & Happiness module is enabled and that you have Administrator or approved Manager access.
A question I deleted has affected my dashboard scores.
Pillar-mapped questions contribute to pillar scoring. If you've removed one, the related pillar may no longer be tracked for that survey. Re-add the question if you want to restore the mapping, or accept the change for this survey going forward.
Recipients say they didn't receive the survey.
Confirm the survey was sent (not left in draft), check the recipient was included in your selection or filters, and verify their email address in Prosper is correct. Recipients with no mobile phone number in their profile will only receive email notifications.
A reminder didn't go out when I expected.
Reminders are sent three and five days after activation. If a reminder would land on a weekend, it's deferred to the next business day — so the actual send date may be later than the strict three/five-day count.
I want to change Manager visibility after the survey has closed.
That's supported — Manager access and visibility can be configured before activation or after the survey has closed. Open the survey's access settings to adjust.
Can I edit a survey after it's been activated?
Once a survey is live and collecting responses, editing questions can compromise the integrity of the results. The recommended approach is to finalise questions before sending. For changes, consider closing the current survey and activating a fresh one.
The anonymity setting isn't what I intended.
Anonymity must be set before activating a survey. Once a survey starts to record responses, anonymity cannot be revoked.
