Assessments are manager-led evaluations that don't require self-reflection from the employee. As an Administrator, you build and manage the assessments that Managers then assign and complete. Assessment ratings can be exported for calibration, and Managers can choose whether to share ratings with their staff or keep them confidential. This guide covers the full lifecycle — building, editing, deleting, cloning, ending, and exporting assessments.

Please note: Assessments must be assigned and completed by the same individual. Delegating or completing assessments on behalf of someone else is not currently supported in the platform.
Prerequisites
- You must be an Administrator.
- The Performance module must be enabled for your organisation.
Part 1 — How to build an Assessment
Step 1 — Open Manage Assessments
From the Prosper main menu, navigate to Performance and select Manage Assessments.
Step 2 — Create a new Assessment
Select Create Assessment.
Step 3 — Add a title and description
Populate the assessment's Title and Description.
Step 4 — Add your first question
Scroll down to populate the Question Text and its Answer type where applicable.
Step 5 — Choose answer types and add more questions
To select a different answer type, choose from the dropdown.
To add more questions, select + Add Question and repeat Steps 4 and 5.
Step 6 — Group questions into categories
Select Title & Description to split assessment questions into different categories, then populate the Title and Description for each group.
Tip: Grouping questions into clear categories — for example, Capability, Delivery, Behaviour — makes the assessment easier for Managers to complete and clearer to interpret at calibration.
Step 7 — Save draft or publish
- Save Draft to return and complete or edit the assessment later.
- Save and Publish to finalise the assessment and make it visible to Managers.
Important: Once an assessment has been published, no further edits can be made. Make sure the assessment is finalised before publishing — if you need to change a published assessment, clone it (see Part 4) and build the new version.
Part 2 — Editing an Assessment
Draft assessments can be edited freely. (Published assessments cannot be edited — clone them instead.)
Step 1 — Open Manage Assessments
Navigate to Performance and select Manage Assessments.
Step 2 — Choose a draft Assessment to edit
Choose an assessment to edit in Draft.
Step 3 — Edit details and questions
Edit the Title and Description if applicable. Scroll down to edit questions, edit answer types, or populate new answer types where applicable.
Step 4 — Delete a question
To delete a question, select the trashcan icon.
Step 5 — Add a question
To add a question, select + Add Question.
Step 6 — Reorder questions
To change the order of questions, scroll to the top of the assessment and select Reorder. Drag and drop questions into your desired order for a logical flow.
Step 7 — Preview, and save
Select Preview, scroll to the bottom of the assessment and Save and Publish.
Part 3 — Deleting an Assessment
Step 1 — Open Manage Assessments
Navigate to Performance and select Manage Assessments.
Step 2 — Delete the Assessment
Select the Delete under Actions. A confirmation pop-up will appear — select Delete.
Part 4 — Cloning an Assessment
Step 1 — Clone the Assessment
Select an assessment to clone from Active or Complete and choose the Clone under Actions.
Step 2 — Edit the cloned Assessment
Cloned assessments can be edited in Draft. Refer to Part 2 of this guide for more on editing an assessment.
Part 5 — Ending an Assessment
Step 1 — End the Assessment
Select an assessment from Active Assessments and choose the End Assessment.
Step 2 — Find the ended Assessment
The assessment will now be accessed within Complete assessments.
Part 6 — Exporting an Assessment
Please note: Assessment exports include the following employee information: Employee Name, Team, Location, Job Role, Assessment Name, Assessor Name, Completion Date, Completion Status, Questions, and Rating.
Step 1 — Export the results
Select Export Results for any assessment in Active or Complete status.
The export is well suited to calibration — open it in Excel or a BI tool and group by Team, Location, or Job Role to compare ratings consistently across the business.
The Assessment lifecycle at a glance
- Draft — being built or edited by an Administrator; fully editable; not visible to Managers.
- Published / Active — finalised and visible to Managers to assign and complete; no further edits (clone to change).
- Complete — ended; available for review and export.
Tips and best practices
- Finalise before publishing. Because published assessments can't be edited, walk through Preview carefully and check every question and answer type before you Save and Publish.
- Group for clarity. Use category titles and descriptions to give Managers structure — a well-organised assessment is faster to complete and easier to calibrate.
- Name with calibration in mind. Clear, dated assessment names (for example, Duty Manager Capability — Q2 2026) make exports easy to identify and compare.
- Remember comments aren't exported. If Manager comments are important for your calibration, capture the key points separately, as the export includes ratings but not comments.
- End assessments deliberately. Ending moves an assessment to Complete. Do this once all assessments in a round are finished, so your Complete view reflects a clean, closed cycle.
Troubleshooting
I can't edit a published assessment.
This is by design — published assessments are locked to protect data integrity. Clone the assessment (Part 4), edit the draft clone, and publish the new version.
A Manager says they can't see an assessment.
Confirm the assessment is published (not still in Draft). Draft assessments aren't visible to Managers.
Manager comments aren't in my export.
Manager comments are not currently included in assessment exports. The export contains ratings and the listed employee fields only.
I ended an assessment by mistake.
Ended assessments move to Complete. If you need to continue assessing, clone the assessment to create a new active version..
Can I delete a published or active assessment?
Deletion is available from Manage Assessments under Actions. Take care deleting assessments with completed data — if you need the ratings for calibration, export them first.
The export is missing some employees.
Confirm those employees were assigned the assessment and that it reached the status you're exporting from. Completion status is included in the export, so you can see who has and hasn't completed.
