Audits give you a structured, repeatable way to evaluate a team member against predetermined criteria. This guide shows Managers and Administrators how to assign an audit, complete it with ratings and comments, control employee visibility, and edit it later if needed.

About Audits
Audits are prebuilt by the Administrator — the criteria, rating scales, and structure are already defined. Your role as the person executing the audit is to assign it to a team member, complete it, and decide whether the member can see the results.
There are two parts to the audit process, split across the desktop and app:
- Assigning audits: This is done from the desktop or Prosper mobile app.
-
Completing audits: This can be done on the desktop, or in the field using the app for carrying out audits on location.
Note: All audit setup - see Administrators Guide to Building and Managing Audits - takes place on the desktop.
Audits are useful for:
- Structured capability or skills audits
- Probation or milestone reviews
- Role-specific competency checks
- Any repeatable evaluation where consistency matters
Prerequisites
- You must be a Manager or Administrator.
- The Audits module must be enabled for your organisation.
- At least one Audit must have been prebuilt by an Administrator.
- The member you're auditing must be one you manage or have access to.
Part 1 — Assigning an Audit from the Desktop
Step 1 — Open the Performance Dashboard
From the Prosper main menu, navigate to Performance and select Dashboard.
Step 2 — Select a member
Select the member you want to audit.
Step 3 — Assign an Audit
Select Audits in the toolbar, then Assign Audit.
Step 4 — Choose the Audit
Choose the audit from the dropdown, then select Assign.
Step 5 — Preview and assign
Review the audit in Preview, then Assign to confirm.
Part 1 continued - Assigning an Audit from the App
Step 1 — Open the Prosper mobile app
From the main menu, navigate to More and select Audits.
Step 2 — Select a member
Select the member you want to audit.
Step 3 — Assign an Audit
Select "+" to Assign Audit.
Step 4 — Choose the Audit
Choose the audit from the dropdown, then select Assign.
Confirmation modal will appear. Confirm.
Audit is now visible under In Progress audits.
Part 2 — Completing an Audit on the Desktop
Step 1 — Go to profile
On the desktop, open the member's profile where the audit now sits, and select Complete audit.
Step 2 — Start Audit
Step 3 — Ratings, comments, images
Populate the audit with Ratings, Comments and Images (if applicable), and Next to move to the next question.
Step 4 — Complete the Audit
Select Submit.
To share visibility with the auditee, scroll down to Employee Access and Save.
The completed audit is now available in the member's profile.
Part 2 continued — Completing an Audit on the App
Step 1 — Select Audits
From the main menu, navigate to More and select Audits.
Step 2 — Open the Audit to complete
Find the assigned Audit by searching for the member you will be auditing.
Step 3 — Start audit
Step 4 — Ratings, comments, images
Populate the audit with Ratings, Comments and Images (if applicable), and Next to move to the next question.
Tip: Comments and images turn a rating into something useful. A specific note — referencing observable behaviour or a concrete example — makes the audit far more valuable in a follow-up conversation.
Step 5 — Complete the Audit
Submit to complete the audit.
Step 5 — Set employee visibility
Set Employee Access in the app, and Save
Step 6 — Auditee Notes
Once employee visibility has been shared, the Auditee can add their own comments in Auditee Notes.
Part 3 — Editing an Audit in the Desktop
A completed audit might need editing to correct an entry error, add evidence that was missed, reflect new information or context from the member, or capture adjustments agreed during the follow-up conversation.
Step 1 — Find the audit
Find the audit in the auditees profile and View Results.
Step 2 — Edit audit
Select Edit Audit.
Step 3 — Submit the audit
When all edits have been made Submit the audit.
Part 3 continued — Editing an Audit in the App
Step 1 — Select the audit in Completed audits.
Step 2 — Edit audit
Step 3 — Submit the audit
When all edits have been made Submit the audit.
Confirmation will follow.
Tips and best practices
- Rate against the standard, not the person. Judge the work as it is on the day, not against your general impression of the member or their past performance. Each audit should stand on its own evidence.
- Be consistent across members. Apply the same criteria and threshold to everyone you audit, so results stay comparable and no one is held to a different bar.
- Focus on what's actionable. Prioritise observations the member can actually do something about, so the audit points toward clear next steps.
- Balance strengths and gaps. Note what's being done well alongside what needs work, so the audit gives a fair picture and reinforces good practice rather than only flagging problems.
Troubleshooting
The Audit I want isn't in the dropdown.
Audits are prebuilt by Administrators. If the one you need isn't available, ask your Administrator to create it.
I can't select a particular member.
You can only audit members you manage or have access to. If a member is missing, confirm the reporting structure in their profile, or ask your Administrator about your access.
The member can't see their completed audit.
Employee visibility is controlled by the Employee Access setting. Open the audit, enable Employee Access, and save. This can be done after completion.
I completed an audit but need to change a rating.
Open the member's profile, view the audit, select Edit Audit, make your change, and complete it again. See Part 3.
I assigned the wrong audit.
If you've assigned an audit in error, select Delete under Actions.
Can two managers complete the same audit for one member?
No. An audit is completed by the assigned manager.
