This guide explains how Administrators can activate performance reviews for their teams at scale, walks through how employees submit their self-reflection, and shows how managers preview and complete a review. It also covers how Prosper handles reminders for performance review cycles.
Who this is for
- Managers and Administrators — scheduling reviews in bulk (Part 1), and previewing and completing self-reflections (Part 3).
- Employees — submitting a self-reflection (Part 2).
Before you begin
- You need manager or administrator access to schedule reviews.
- A review template must be available to select.
- The team members you're scheduling for must be active in Prosper.
- Calendar integration is optional but recommended. If it isn't enabled, you won't see the calendar sync option in Step 5 — see Enabling Calendar Integration for Performance Reviews.
Part 1: Scheduling Reviews Cycles — Administrators
Step 1 — Schedule a review
Navigate to Performance in the menu and select Schedule Review.
Step 2 — Set the cadence and template
Select a Review Period Start Date and End Date to begin setting the review cadence, then Select template.
Step 3 — Choose recipients
Scroll to the bottom of the review template and select Choose recipients.
Step 4 — Review your selected team members
Scroll down to see a list of the team members you've selected. Use the Edit icons to manage calendars and adjust the date and time if you're managing calendars on behalf of the managers. If not, leave these blank and the managers will be prompted to schedule them.
Step 5 — Add calendar events (if enabled)
If calendar integration is enabled, select Would you like to add calendar events to sync your calendar.
Tip: Managers can add a message to calendar invites and specify whether the meeting will be held online or at a chosen location.
Step 6 — Schedule Review
Note: If a review cycle has been activated on your behalf without calendar scheduling, you will be notified by email to View and coordinate the review time.
This opens directly into the review, where you can select Schedule Review.
Part 2: Submitting a review — An employee's view
Employees receive a notification of their review and can submit their self-reflection by SMS (if opted in) and email.
The review can also be accessed from the Performance on the Employee Dashboard.
Step 1 — Open the review
Select Complete.
Step 2 — Complete and submit
Populate the review and select Submit review.
Step 3 — Confirmation
The employee is then redirected to their Performance Dashboard, where they can view their submission.
Part 3: Previewing a self-reflection — A manager's view
If a review cycle has been activated on your behalf without calendar scheduling, you will be notified by email to View and coordinate the review time.
This opens directly into the review, where you can select Schedule Review.
Once an employee completes their self-reflection, the manager receives an email notification to View results.
Step 1 — Review the submission
Managers can view the submission and add Comments and/or Private Notes before or during the meeting.
- To share a comment with the employee, toggle Share with employee in the top-right corner of the text box. Shared comments are visible to the employee in their review.
- Private Notes are for manager use only and are never visible to the employee.
Step 2 — Complete the review
Select Complete Review.
A confirmation modal appears. Select Complete.
The review is now marked Completed in the employee's Performance Overview within their profile, and the employee receives an email confirming the review is complete.
The employee will be notified by email and can View completed review.
Part 4: Reminders
Based on the activation settings, employees who haven't completed their self-reflection receive a reminder 3 days before the scheduled review. If it's still incomplete after the review date, a final reminder is sent 3 days later.
Tips and best practices
- Stagger your meetings. When scheduling several reviews at once, use the Edit icons in Step 4 to give each person a different date and time rather than booking them all together.
- Enable calendar integration first. Setting this up before you schedule means meetings sync straight to your calendar and your team's, reducing no-shows.
- Personalise the invite. Add a short message to the calendar invite so employees know what to prepare.
- Use Private Notes to prepare. Jot down talking points ahead of the meeting — these stay private to you.
- Share comments selectively. Only toggle Share with employee for feedback you want them to see in their review.
Troubleshooting and FAQs
An employee didn't receive their review notification.
Confirm the employee is active in Prosper and that their mobile number and email address are correct on their profile. Notifications are sent by SMS and email, so an out-of-date contact detail is the most common cause.
I can't see the calendar sync option in Step 5.
The Would you like to add calendar events option only appears when calendar integration is enabled. See Enabling Calendar Integration for Performance Reviews to set this up.
Can I set different dates for different team members?
Yes. In Step 4, use the Edit icons next to each team member to adjust their individual date and time.
I didn't get an email when my employee submitted their self-reflection.
Confirm the self-reflection was actually submitted (it will show as completed on the employee's side). If it was, refresh your browser or check your notification settings. You can also open the review directly from Performance in the menu.
Will the employee see my Private Notes?
No. Private Notes are visible to managers only. Only comments with Share with employee toggled on appear in the employee's review.
An employee hasn't completed their self-reflection.
Prosper sends an automatic reminder 3 days before the scheduled review, and a final reminder 3 days after the review date if it's still incomplete. Reminder behaviour depends on your activation settings.
