Connecting your calendar to Prosper lets you schedule performance reviews directly from the platform — with invitations, reminders, and meeting times synced automatically to your calendar. This removes the manual back-and-forth of finding times and ensures reviews are booked, visible, and far less likely to slip.
Who this is for: Managers and Administrators
Read time: 4 minutes
Why connect your calendar?
Once calendar integration is enabled, Prosper can:
- Schedule review meetings directly — book a performance review time without leaving Prosper.
- Send calendar invitations — the reviewee and reviewer both receive an invite in their own calendar.
- Sync changes automatically — reschedules and cancellations update in both Prosper and your calendar.
- Reduce no-shows — reviews appear alongside everything else in the manager's and employee's day, with native calendar reminders.
Prerequisites
- You must have a Manager or Administrator role in Prosper.
- You need an account with a supported calendar provider (for example, Microsoft 365 / Outlook or Google Calendar).
- You'll need permission to grant Prosper access to your calendar — if your organisation restricts third-party app connections, your IT administrator may need to approve it first.
How to enable calendar integration
Step 1 — Open My Profile
Navigate to My Profile by selecting your name in the top-right banner.
[Screenshot: Top-right banner of the Prosper interface with the user's name and avatar highlighted, and the dropdown showing the "My Profile" option]
Step 2 — Add a calendar
- On your profile page, locate the Calendar Integration section.
-
Select Add a Calendar.
- Choose your calendar provider from the available options.
- You'll be redirected to your provider's sign-in and consent screen. Sign in if prompted, then review and accept the permissions (if applicable).
- Once you accept, you're returned to Prosper.
Confirmation
A confirmation will appear when calendar integration is enabled. Your connected calendar is now shown in the Calendar Integration section of your profile, along with its connection status.
Scheduling a review with calendar integration enabled
Once your calendar is connected, you can schedule review meetings directly from a performance review:
- Open the performance review you want to schedule a meeting for.
-
Select Schedule Meeting.
- Choose a date and time, and check Add to calendar events. Add any notes for the invitation.
- Save. Prosper creates the calendar event and sends invitations to both the reviewer and reviewee.
The meeting now appears in your connected calendar, and any changes you make in Prosper sync automatically.
Managing your calendar connection
Checking connection status
Return to My Profile > Calendar Integration at any time to see whether your calendar is connected. A green Enabled status indicates an active connection.
Disconnecting a calendar
- Go to My Profile > Calendar Integration.
- Select the toggle to disable the connection.
-
Confirm in the modal.
Disconnecting stops Prosper from creating or syncing calendar events. Meetings already in your calendar remain, but future changes in Prosper won't sync until you reconnect.
Reconnecting after a disconnection
If your connection drops — for example, after a password change or if access was revoked — simply repeat the Add a Calendar steps above to re-establish the connection.
Privacy and what Prosper can access
- Prosper uses your calendar connection to create and manage review meeting events.
- Prosper does not read the content of unrelated calendar events beyond what's needed to schedule reviews.
- You can revoke Prosper's access at any time, either by disconnecting in Prosper or by removing the app's permissions in your calendar provider's account settings.
- Your organisation's IT and privacy policies govern how this integration is used — check with your administrator if you're unsure.
Tips and best practices
- Connect your calendar before review season starts. Setting it up in advance means you're ready to schedule the moment a review cycle activates.
- Schedule early in the cycle. Booking review meetings as soon as the cycle opens secures the time before calendars fill up.
- Keep one calendar connected. Connecting your primary work calendar keeps review meetings where your colleagues expect to see them.
Troubleshooting
I don't see the Calendar Integration section on my profile.
Calendar integration may not be enabled for your organisation, or your role may not have access. Contact your administrator to confirm.
The connection failed during the consent step.
This usually happens when your organisation restricts third-party app access. Ask your IT administrator to approve Prosper's calendar access, then try again.
My calendar shows as connected, but events aren't appearing.
Check the connection status on your profile. If it shows anything other than Enabled, disconnect and reconnect. If events still don't sync, confirm you're scheduling from within a performance review and that the meeting was confirmed.
My connection keeps dropping.
A connection commonly drops after a password change, a security policy update, or if access tokens are revoked by your IT team. Reconnect using the Add a Calendar steps. If it drops repeatedly, contact your administrator — there may be an organisation-level policy revoking the connection.
The wrong calendar is connected.
Disconnect the current calendar, sign out of the provider account if needed, and reconnect using the calendar account you want to use.
An employee didn't receive their review invitation.
Confirm the meeting was successfully created in your calendar, and that the employee's email address in Prosper is correct. Resend the invitation from the review if needed.
Can I connect more than one calendar?
Prosper connects to a single calendar per user. To switch, disconnect the current calendar and connect the one you want to use.
