Users and Groups in the People & Skills Finder are how administrators control two things: who can publish to the Prosper Newsfeed, and who sees the posts that go out. By organising users into groups with defined publishing and reporting rights — and by targeting posts to the right audience — you make sure the right people are talking to the right people.

What are Newsfeed Audiences?
There are two related concepts to understand:
- Publishing groups — named collections of users who share the same right to create and post to the Newsfeed. Rather than granting posting rights to individuals one at a time, you assign rights to a group and add the right people to it.
- Post audiences — the set of people who will see a given post in their feed. Audiences can be the whole organisation or scoped down to specific Teams, Locations, or Positions.
Both are managed inside the People & Skills Finder — the central place in Prosper where administrators view, organise, and configure the people in their organisation.
Typical Newsfeed publishing groups include:
- Communications — the team responsible for organisation-wide announcements.
- Newsfeed Publishers — staff who create and publish posts and updates to the feed.
- Site Publishers — managers who publish posts scoped to their site only.
- Newsfeed Moderators — users who can edit or delete any post or comment across the feed.
- HR Reporting — users who need access to Newsfeed engagement reporting but don't publish.
Prerequisites
- You must have Administrator permissions in Prosper to assign permissions in User Groups.
- The Newsfeed module must be enabled for your organisation.
- Users must have active Prosper accounts to be added to a group.
How to create a Newsfeed publishing group
Step 1 — Open the People & Skills Finder
From the Prosper main menu, navigate to People & Skills Finder > Users and Groups.
Step 2 — Open User Groups
Select the User and Groups tab.
Step 3 — Create a new group
Select Add Custom Group.
Step 4 — Name and describe the group
Enter:
- Group name — clear and role-based (for example, Site Newsfeed Publishers, not Group 4).
- Description — a one-line summary of who this group is for and what they can do. Future administrators will thank you.
Step 5 — Assign Newsfeed rights
Under the Content Rights section, toggle the Newsfeed rights this group should have:
- Create Newsfeed Posts — publish new posts to the Newsfeed.
- Edit Any Newsfeed Post — edit posts created by anyone, not just the group's own posts.
- Delete Any Newsfeed Post — remove posts created by anyone.
- View All Newsfeed Posts — see every post regardless of its audience targeting (useful for moderators and reporting roles).
- Edit Any Newsfeed Comment — edit comments left by any user.
- Delete Any Newsfeed Comment — remove comments left by any user.
Step 6 — Assign reporting rights
Under Permissions, enable Receive Newsfeed Reports. This gives the group access to Newsfeed engagement reporting.
Step 7 — Save the group
Select Save Group. The group is now active and the users in it immediately have the configured rights.
Setting the audience for a post
Publishing rights control who can post; the post audience controls who sees it. The audience is set on the post itself, at the time of publishing.

Create a new post from the Newsfeed in the Employee Dashboard
- In the Audience selector, choose who should receive the post:
- Everyone — the entire organisation.

Restricted — restrict to selected Teams, Locations, or Positions.

Review the estimated reach shown in the selector before publishing.

Pin to top of feed, Allow comments, and Post.
A post's audience is independent of the restricted group chosen.
Editing a group
- Open People & Skills Finder > Users and Groups.
- Select the group from the list.

Edit Permissions to update the group name, description, rights, or members as needed.
- Save Group.
Removing a user from a group
- Open the group.
- In the members list, locate the user.

Select "x" to Remove from group.
The user retains any rights granted by their other group memberships, if any.
Deleting a group
Delete a group only if it's no longer needed. Deleting a group:
- Removes the group's publishing and reporting rights from every member.
- Does not delete the users themselves.

Does not affect any posts the group's members have already published.
From the group detail page, select Delete Group and confirm in the modal.
Troubleshooting
A user can't create or publish a Newsfeed post.
Confirm the user is in a group with Create Newsfeed Posts enabled. Ask the user to refresh, or log out and back in if the group was changed recently.
A post isn't appearing in someone's feed.
Check the post's audience. If the post was targeted to specific Teams, Locations, or Positions, users outside that audience will not see it. Confirm the recipient's account details match the targeting.
I added a user to a group but they don't see the new rights.
Most rights apply on next session refresh. Ask the user to refresh their browser or log out and back in. If the issue persists, confirm the user's account is active.
Can I bulk-import users into a group?
Use the user picker's search (Team, Location, Job Role) to add users in bulk.
What happens when a user leaves the organisation?
Deactivating the user in Prosper automatically removes their effective access, including any publishing rights.
