Member profiles are the single source of truth for each person in Prosper — their details, role, profile information, and notification preferences. This guide shows Managers and Administrators how to navigate, review, and edit the profiles of their team members.

What's in a member profile
A member profile brings together everything Prosper holds about a person, including:
- Member Details — core information such as name and contact details.
- Work Information — role and work-level information.
- Role & Permissions - scroll down to edit the user role and permissions.
- Profile Information — additional details about the member.
- Notification Settings — how and when the member receives notifications.
- Management notifications — notification preferences relating to management.
Keeping these accurate matters — much of how Prosper behaves (visibility, notifications, survey targeting, manager mapping) depends on correct profile data.
Prerequisites
- You must be a Manager or Administrator.
- The member must be one you manage or have access to.
How to edit a member profile
Step 1 — Select a member
Navigate to People & Skills Finder in the menu and select a member.
Step 2 — Edit the member
Scroll down and select Edit.
Step 3 — Review and edit each section
Work down the profile, editing each section as needed:
Member Details - edit critical member details such as name and contact information.
Work Information - scroll down to review and edit role and work-level information.
Role & Permissions - scroll down to edit the user role and permissions.
Profile Information - scroll down to edit additional profile information.
Notification Settings - scroll down to edit how the member receives notifications.
Management notifications - scroll down to edit management notification preferences.
Step 4 — Save
Once you've made your changes, scroll down and select Save Changes at the bottom of the profile.
Tip: Make all your edits across the different sections before saving — Save Changes at the bottom captures everything you've updated in one go.
Tips and best practices
- Keep critical details accurate. Email in particular is the key identifier in Prosper — it drives login, notifications, and member matching on import. Double-check it whenever you edit a profile.
- Update profiles as circumstances change. Role changes, contact detail updates, and notification preferences should be reflected promptly so Prosper behaves correctly for the member.
- Mind notification settings. If a member isn't receiving expected notifications, their Notification Settings are the first place to check.
- Save before navigating away. Always select Save Changes before leaving the profile, or your edits won't be retained.
- Combine with other profile tools. Profiles also house Skills, Development Plans, Spotlight tags, and Notes & Attachments — keep all of these current for a complete, reliable record.
Troubleshooting
I can't select or edit a particular member.
You can edit profiles for members you manage or have access to. If a member is missing or not editable, confirm the reporting structure (manager mapping) or ask your Administrator about your access.
My changes didn't save.
Make sure you selected Save Changes at the bottom of the profile. If you navigated away before saving, the edits won't have been retained — re-enter and save.
A member isn't receiving notifications.
Check the member's Notification Settings on their profile, and confirm the member is activated — inactive members don't receive notifications. See Filtering by Activation Status and Activating Members.
I changed a member's email but they can't log in.
The email is the login identifier. If you've changed it, the member must use the new email to sign in. Confirm the new address is correct and, if needed, resend the welcome email.
I edited a member profile, but the field has reverted to the previous data.
If your business has a payroll or HRIS integration, that field must be updated directly in the source system. Prosper always mirrors the source system, so any changes made in Prosper will be overwritten at the next sync. To update the field, make the change in your payroll/HRIS, and it will flow through to Prosper automatically.
Can Managers edit any profile?
Managers can edit profiles for the members within their mapped Teams and Locations. Administrators can edit profiles across the organisation.
